Cancellation Policy

The conference venues and hotels require final numbers for attendance 10 working days before the first day of the event, after which time there is a liability for 100% of the costs. BTS is a not-for-profit association and cannot afford to pay such costs. Therefore we have the following policies for all attendees to be absolutely clear in cases of cancellation or no-show:

Delegates can make name changes free of charge up to 5 working days before the conference (i.e. up to 26th February 2020)

  • Attendees who cancel their attendance 60 working days before the event will receive a full refund.
  • Attendees who cancel their attendance between 59 days (27th November 2019) and 10 working days (19th February 2020) before the event (inclusive) will be offered a refund less a £140 administration fee.
  • Attendees who cancel their attendance 10 working days (19th February 2020) before the conference or indeed who do not arrive at the conference will be charged the full conference registration fee.

Payment for travel and accommodation is the responsibility of the delegate and no responsibility can be assumed by BTS for costs incurred in the event of a late cancellation. Delegates should refer to the terms and conditions with their hotel booking for cancellation costs, which will be specific for each hotel.
